Position Title: Volunteer Coordinator Supervised By:  External Relations and Grants Manager Supervises: Interns Department: Development Status: Full-time Position Description Updated: February 2018                                                                                                                Summary The Volunteer Coordinator is responsible for managing Sarah’s Circle’s volunteer program, overseeing the donation of in-kind items, and providing administrative support to the Development Team. Essential functions of this role include collaborating with staff, participants, and other organizations to ensure the most effective use of volunteers, as well as supporting staff through a variety of tasks related to organization and communications. This role is essential in developing and managing relationships with volunteers and other community partners. By demonstrating an understanding of the agency’s mission, the Volunteer Coordinator will ensure volunteer and engagement activities foster a safe and trauma informed approach, and provide for a positive and impactful experience for individuals or community groups.   Responsibilities Administrative and Resource Development Answer and direct incoming phone calls for administrative staff Maintain accurate volunteer information in the agency’s database Write updates for external publications as requested Collaborate with Development Team members on volunteer and donor prospect cultivation Assist with fundraising events as needed Volunteer Recruitment, Training and Coordination Recruit, train, schedule, and provide ongoing oversight of volunteers Facilitate consistent orientation of volunteers, which includes leading monthly evening orientations Ensure volunteer coverage for client activities such as the front desk and meal service Communicate with staff as necessary about volunteer updates and changes Coordinate in-kind donations and communicate with staff about current needs Engagement, Assessment, and Planning Participate in program planning and implementation, as it pertains to volunteer activities Engage and collaborate with staff and participants to determine effective use of volunteers Public Relations Manage relationships with individual and group volunteers Participate in external networking events on behalf of Sarah’s Circle       Other Represent Sarah’s Circle in a professional manner Protect organization’s values by keeping information confidential Update job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations Attendance at Required Meetings: All Staff Meetings (monthly) Events Committee Meetings (monthly) Development Committee Meetings (bi-monthly) Associates Board Meetings (quarterly) Membership Committee of the Associates Board (quarterly) Development Team Meetings (weekly) Supervision Meetings (weekly) Attendance required at Events Annual Winter Walk Annual Beer Fest Annual Donor/Volunteer Recognition Annual Inter Faith Breakfast 2 Annual Associates Board Events Other events as scheduled Competencies Dependability: able to work independently, submits accurate documentation, and seeks guidance when needed.
